Moving from Tally to VisionONE: a data migration planning guide

A Tally-to-VisionONE migration should start with an agreed data scope, a restorable source backup and a rehearsal in a separate target environment. Exporting a file is one step: the business must also map records, reconcile balances and transactions, and approve the cutover. This guide proposes a project workflow; VisionONE’s supported import formats and services must be confirmed before committing to a migration.

What should the business decide before exporting data?

List the source product and release, companies, GST registrations, financial years, currencies, inventory locations and customizations. Identify which reports must remain available after the move and who needs access. A finance migration can differ materially from a project that also moves item masters, batch/serial data, orders, payroll or attachments.

Choose between opening balances with open items, a defined transaction period, or a broader historical migration after assessing cost and feasibility. Record what stays in the source archive and how users will retrieve it. Avoid promising complete history until sample data and the target data model have been examined. Give every data set an owner, an agreed cut-off and a signed acceptance criterion.

How should Tally data be protected before the project starts?

Use the backup procedure for the installed release. Tally’s current backup and restore documentation describes local-drive and TallyDrive options for TallyPrime Release 7.0 and links to earlier-version instructions. Check the version before following menus. A report export does not replace a company backup.

Store an untouched source copy separately from working exports. Record its date, company and covered period, then verify recovery through an agreed isolated restore procedure. Restrict access to payroll, banking and other sensitive records. Document how the business will continue trading if cutover is postponed and who has the authority to make that decision.

What can be exported from TallyPrime?

Tally’s export documentation describes exporting masters and transactions through Alt+E, choosing the relevant type and period, and configuring options such as dependent masters. Available formats depend on the export operation and release. Ask the source administrator to produce agreed sample files before designing a conversion.

Use the sample to examine actual columns, identifiers, dates, signs, units, tax fields and relationships. Confirm how bill-wise details, cost centres, currencies and inventory values are represented where they are in scope. Preserve the original files and create a transformation log for each working copy. Do not overwrite the only source export when correcting a mapping issue.

Does an available Tally export prove that VisionONE can import it?

No. Source export capability and target import capability are different. Require the VisionONE implementation team to confirm accepted templates or interfaces, field definitions, supported record types, limits, sequencing, duplicate handling and error reporting. A Tally XML or JSON file is not evidence of a ready-made VisionONE connector.

Agree who performs conversion, who resolves rejected records, how many rehearsals are included and what historical information will remain outside the target. Ask for a small representative import demonstration before approving the full migration. Record any custom development, provider dependency, extra effort or contractual limitation in the project scope.

How should the mapping workbook be organized?

For each data set, record source identifier, target identifier, source field, target field, transformation, default rule, required validation and approval owner. Keep a cross-reference for renamed or merged records. Finance should approve chart-of-accounts grouping and opening positions; operations should approve item codes, units and location relationships.

Resolve duplicate or inactive masters through a documented business decision. Avoid merging customers merely because their names look similar. Preserve traceability to the original identifiers. Define dependencies so that a transaction cannot reference a missing master, and make rejected records visible in a log with a responsible owner and resolution.

What reconciliation proves the rehearsal worked?

Agree a control pack before conversion: trial balance, ledger and open-item totals, receivables/payables ageing, bank positions and inventory quantities/values where included. Compare like-for-like dates, currencies, locations and report filters. A matching grand total can still hide incorrect customer balances or account classifications.

Reconcile record counts and control totals, then sample real business chains from opening position through transaction and settlement. Investigate differences rather than posting an unexplained balancing entry. Save the reports, mapping version, import log and signed review. Agree rounding tolerances explicitly; any unexplained difference remains a defect until the owner accepts a documented resolution.

How should GST records be handled during migration?

Preserve the link between migrated business records and their existing invoice, tax and movement references. Classify historical records separately from new documents that the target will issue after cutover. A data import must not accidentally initiate new live tax submissions or duplicate previously issued business documents.

Review invoice-to-IRP handling against the official e-invoicing explanation, and movement dependencies against the official e-way bill FAQ. The finance/GST reviewer should approve the preservation and reconciliation method for the specific registrations. This guide does not assert that VisionONE automatically imports statutory portal data or replaces all historical source access.

What belongs in the final cutover plan?

Schedule the freeze or controlled entry period, final export, conversion, import, reconciliation and business approval. Define how late entries will be handled and which system is authoritative at each stage. Include user roles, training, integrations, document numbering, access to the source archive and a support roster for the first operating days.

Set a clear go/no-go point and rollback trigger before production work begins. Test the rehearsal timing so the plan fits the available window. After launch, review the first actual invoices, receipts, payments and stock movements with the responsible users, without manufacturing transactions just to produce a success screenshot.

What questions should the migration owner ask?

Must every historical transaction move?

Choose the scope based on retrieval, reporting, statutory retention needs and tested conversion feasibility. A supported archive plus approved opening/open-item migration may be appropriate; confirm the decision with the business and its advisers.

Can the team promise a completion date from the file size alone?

Estimate after inspecting samples, customizations, dependencies and reconciliation complexity. Agree milestones and acceptance evidence before committing to the production window.

Who signs off the imported data?

The accountable business owners should approve their data sets and reconciliation results. An implementation team’s successful import log is useful evidence, but it does not replace finance and operational acceptance.
